Why do you need 6 weeks of lead time before starting a project?
While some projects can be completed in less than 6 weeks, most require greater advance notice. This timeline allows University Communications (UC) to determine which printer/vendor is best suited for the project; to determine if paper stock and materials are available; to allow for shipping time to campus; to make content re-writes, edits, and design changes; to gain approval from various stakeholders; and to search photo databases and/or schedule photo shoots if specific images are required.
Why do you need to know if the project will be print or digital?
Print and digital files have different design specifications, such as color codes and crop marks. Knowing the file format helps us design the most appropriate file to serve your needs while maintaining brand standards.
Why do you need to know the audience for my project?
The audience determines the style of writing, design, and branding used. For example, a project intended for prospective students will look different than one aimed at the alumni audience.
Why do you need to know the quantity before starting my project?
The quantity will determine the production timeline, paper stock/materials, vendors used, overall cost, and mailing options. By knowing the quantity up front, University Communications can better estimate a timeline to ensure your project is completed by deadline and determine that materials are available to meet your project specifications. Knowing the quantity also helps UC determine if price breaks are available for various quantities, which may increase cost effectiveness for your department.
How do I determine the project completion date?
The project completion date is the date by which you want or need your item in hand or dropped in the mail. Project requests should be submitted 6 weeks in advance whenever possible to allow approximately 2 weeks for writing/design, 2 weeks for proofing/editing, and 2 weeks for printing. Upon receiving a project request, UC will review your requested delivery date and provide you with an estimated production timeline. Please note that the project completion date is NOT the date that mailed pieces are received.
