Spring 2020 Closing Memo

At this time, all students should not be on campus due to earlier restrictions and expectations for housing, unless approved by the Office of Residence Life to remain on campus. Please review all of the information on this webpage for an overview of the move-out and checkout process. We will be relying heavily on students using Express Checkout forms for the Spring 2020 move-out process.

All students must complete a complete move and checkout from their campus address by May 17, 2020. We will have specific dates and times set up for checkout times to spread out the number of people in campus housing locations at one time, and assist you in practicing recommended social distancing practices. Students should only be on campus for the purposes of moving out, and for the shortest amount of time possible.

How do I do my checkout?

  1. Sign up for a move-out time here: Moveout Sign Up
    • Please note, the time slots are arrival windows, you should be on campus for the least amount of time possible to follow prevention and social distancing measures.
    • We have dates and times spread available through May 17, 2020. If one of the time slots that works best for you is full, we suggest trying to look at other options. However, if that is the only date/time that works for you, please let us know by emailing housing@wittenberg.edu.
  2. Remove all belongings and clean your assigned housing (more details below)
  3. Turn in any campus keys (including Spring Break keys, in applicable) at the Wittenberg Police Division in the key drop box.
    • Please label the envelope with your first and last name, and your campus address & seal the envelope so the key doesn’t fall out.

What should I do to prepare my campus residence for checkout?

Residence Hall Checkout Procedures

  • If you rented a micro-fridge unit from BedLoft: Clean and wipe out the unit, unplug, and leave the doors open. Failure to do so may result in fines from BedLoft.
    • If you rented a loft, you do not need to do anything other than removing your personal belongings.
  • Un-bunk beds place pins in a desk drawer.
  • Make sure all furniture (desks, chairs, beds, etc.) that was in your room at check-in is in the room for checkout.
  • Clean room:
    • Remove all tape, picture hangers, stickers, command hooks, etc. from walls and doors
    • Empty and wipe out drawers and shelves
    • Wipe off tops of desks, dressers, and window sills
    • Dispose of all trash
      • Dumpsters will be available 03/19/2020 to 05/03/2020
      • Dumpsters will be located as follows:
        • Behind Krieg Hall
        • Behind New Hall
        • Behind Ferncliff Hall
        • In the parking lot between Tower and Firestine
        • In the parking lot behind Sprecher Apartments
        • In the parking lot behind Keller Apartments

      • Donation bins from Goodwill and Salvation Army WILL NOT be available
      • Food donation bins will be available (more details to come)
    • Sweep/vacuum the floor
    • Clean & wipe out recycling bin
    • Failure to clean room properly will result in fines.
  • Remove all personal belongings from room and public spaces/hallways by the time of your appointment
    • Do not leave any belongings in the hallway or your room! If any items are left behind, you will be fined $100 per item.
    • Double check laundry room, bathroom, lounges, and all room storage, etc.
    • DO NOT “donate” to public spaces or put items out for “free”-- items left behind will be charged back to the community.
  • Turn off lights. Set thermostat to 70 degrees. Shut & lock windows.
  • Once finished moving out belongings, each student must return room key and Spring Break key (if applicable) to the drop-box at WittPD (behind Recitation Hall)
    • Your filling out of the key envelope verifies that you understand that Residence Life Professional Staff will make a final assessment of damages after hall closing which may result in a charge or additional charges to your account and validates that you have been properly checked out. It does not indicate you agree with the assessment, that the assessment has been completed in full at that time, or that you admit responsibility for any damages.

Witten’Burbs Checkout Procedures

  • Make sure all furniture (desks, chairs, beds, etc.) that was in your room at check-in is in the room for checkout.
  • Clean room and common spaces:
    • Remove all tape, picture hangers, stickers, command hooks, etc. from walls and doors
    • Empty and wipe out drawers, cabinets and shelves
    • Wipe off countertops, bathroom & kitchen surfaces, windows and window sills
    • Make sure attics, basements, rooms, closets, porches, and common spaces are clear of personal belongings and trash.
    • Clean and sweep/vacuum/mop the floors
    • Pick up any trash or debris from entry way, porches, balconies, and yards
    • Dispose of all trash
    • Sweep/vacuum the floor
    • Clean & wipe out recycling bin
    • Failure to clean room properly will result in fines.
  • Remove all personal belongings from room and public spaces/hallways by the time of your appointment
    • Trash should be taken to the curb, fully bagged/contained (so it will make it to trash pick-up day) and not blocking the sidewalk
    • If you have large/bulky items to trash, please coordinate with Angie Kettler for local trash pick-up or take the items to the dumpster
    • Dumpsters will be available 03/19/2020 to 05/03/2020

    • Do not leave trash in or around your house/apartment or fail to pull your trash to the curb for pick up! If you are leaving more than two days prior to trash pickup, please do not place on the curb; instead take your trash to the dumpster

  • Turn off all lights. Set thermostat to 70 degrees. Shut & lock windows and doors.

Where do I turn in my key?

Once you move out of your campus address, you will return your key at Wittenberg Police Division (behind Recitation Hall) in the envelopes available there. Please fill in all pertinent information on the envelope and place it in the drop box.

I have library books I need to return, what should I do?

If you have library and/or OhioLINK books that you want to return, you can do that when you are on campus for move out. If you have Library books you need to get and/or OhioLINK books that you need to pick up you can do that too. The Library is open from 8 a.m. to 5 p.m. Monday-Friday. You will need to call 937-327-7512 when you come to the front door and someone will come let you in. You will need to show your Wittenberg ID for entrance. If you come when the library is closed, you may drop your books in the library book drop, just to the left of the glass entrance doors.

How do I return my borrowed/rented instrument to the music department?

Students needing to return a Wittenberg instrument should contact Emily Burnett, burnette@wittenberg.edu, to arrange for drop-off and storage. DO NOT leave an instrument in an insecure place (hallways, unlocked classrooms, etc.). Practice room keys should be placed in an envelope with the student's name and dropped in the mailbox slot by the Music Department Office. Ensemble folders and sheet music should be placed in the bin next to the keyboard lab.

What do I do about my rented and purchased textbooks?

We are addressing as many of these questions on the Wittenberg COVID-19 FAQ page as quickly as we can.

What do I do about my mail/packages?

Please do not send any new packages to campus.

The Student Mailroom will remain closed. Packages and Mail will be forwarded to students upon request. Please email kussj@wittenberg.edu to submit your request and provide a current address and your campus box number. Essential items of medication & food will be sent first. Students must update their address to their current place of residence for all future mail and packages. All packages received after March 30th will be returned to sender. (with few exceptions)
